Mark an invoice as paid

In short

When a customer pays you outside the store, open the invoice in Billing → Invoices and click Mark Paid. The invoice is marked paid and the service is set up or renewed, just like an online payment.

  • Getting paid
  • Updated October 2026

If your customer clicked I’ve paid on the invoice, confirm it on the Manual Payments screen instead. See Accept bank transfers and other offline payments.

Steps

  1. Sign in to your brand admin. See Open your brand admin.
  2. In the menu, open Billing → Invoices.
  3. Search by invoice number or customer email, and open the invoice.
  4. Check the invoice number and the amount.
  5. Click Mark Paid.

You can also click Mark Paid on the invoice's row in the list.

What happens next

  • The invoice shows Paid and a manual payment is recorded.
  • A new order is set up, a paused service starts again, and a renewal moves the service's dates on.
  • Your customer gets a receipt. A wallet top-up invoice adds the money to your customer's wallet instead.

Do not use the Mark Paid button in the bar that appears when you tick several invoices for real payments. It only changes the status and does not set up services or complete orders.

Common problems

It says the invoice is already paid

Someone already marked it, or the customer paid online. Check Billing → Payments.

The order is still pending after I marked a different invoice

Open the order in Billing → Orders and click Accept Order (mark paid + activate).
